How do I confirm, cancel or mark a no-show on a booking?

Open Bookings, filter to the ones you need, and use the status control on each row, or select several and confirm or cancel them in one go.

Where it lives

Open Bookings, the third item in the left menu. On your phone it's under the More tab. It's a sortable table of every appointment, past and upcoming, with a status on each row. For a visual day-by-day view use the calendar instead.

What each status means

  • PendingWaiting on your OK
  • ConfirmedIn the calendar, reminders scheduled

How a new booking gets confirmed is set in SettingsBooking settings: auto-confirm the moment it's made (the default), you approve so it waits in Pending, or the customer confirms with confirm-to-hold. Deposit and confirm-to-hold bookings occupy the slot while they wait, so nobody can double-book it.

Confirm, cancel or mark a no-show

  1. Filter to what you need

    Use the status chips, or set a custom date range for an end-of-week or end-of-month look. The density control switches between comfortable and compact rows.

    You'll see: only the matching bookings, with the count at the top.
  2. Change one booking's status

    Click the status on the row and pick Confirmed, Cancelled or No-show. Cancelling emails the client and offers the slot to your waitlist.

    You'll see: the row update straight away, and the calendar to match.
  3. Act on several at once

    Tick the boxes on the rows, and a bar appears with Confirm, Cancel and Export. Export gives you a file for your records or your accountant.

    You'll see: the whole selection change in one go.

Tracking no-shows

Marking a no-show keeps it out of your revenue and capacity numbers, and over time builds an honest picture of how often it happens. If a client has no-showed before, a small warning badge with the count appears next to their name here and on their record, matched by phone number. Home shows your estimated no-show rate over the last 30 days; it gets more accurate the more you keep statuses up to date. See No-shows & auto-hold for what marking one unlocks.

What it won't do

Honest by designThere are no automatic penalties or charges for a no-show; the mark is there to inform you. Pair it with reminders to prevent them and the waitlist to fill the gap. And use the calendar to move a booking rather than cancelling and re-creating it, which keeps the client's history tidy.

Common questions

A booking Sally took isn't in the list. Where is it?

Check the Pending chip and the date range first; a filter is the usual reason. If it's still missing, look in your Inbox: Sally may have left the conversation for you because a detail was unclear.

What happens to the customer when I cancel?

They get an email straight away with a link to rebook, and the freed slot is offered to the next person on your waitlist. If you cancel by mistake, rebook them from their client record.

Can I undo a no-show mark?

Yes. Click the status again and set it back to Confirmed or Cancelled. The warning badge on the client's record updates with it.
