Where it lives
Open Calendar, the second item in the left menu. On your phone it's the second tab in the bottom bar. Switch between Day, Week, Month and List with the buttons at the top: Day for hour-by-hour, Week for spotting gaps, Month for planning, List for a plain scrollable agenda.
Move a booking, book a gap, block time
Reschedule by dragging
Pick up an existing booking and drop it on a new time or day. It moves rather than duplicating, and the change syncs to Google Calendar if you've connected it.
You'll see: the booking in its new slot and the client's record updated.Book an empty stretch
Drag across free time to open a new booking there, or use Add booking for one you took by phone or in person. Pick the service and the client, then save.
You'll see: it sitting alongside the bookings Sally takes.Block off time you're not available
Lunch, a meeting, annual leave. Choose a one-off block, or a weekly repeating block for a standing lunch or a regular afternoon off. Blocked time reads as busy, so Sally won't offer it.
You'll see: the block shaded on the grid.Mark someone out sick
In the create window there's a dedicated tab for when a team member calls in sick or finishes early. It marks them out for the day and lists their affected bookings so you can move each one to a free colleague who does that service, or cancel it.
You'll see: cancelled clients emailed automatically, and the freed slot offered to your waitlist.
What the grid quietly respects
- Cleanup timeSet per service in Services & rules
- Pending holdsDeposit or confirm-to-hold keep the slot
- Google Calendar eventsShown as busy, never read
- Your opening hoursClosed hours shaded
Hours outside your opening hours are shaded so your real working day stands out. A service with cleanup minutes set in Services & rules keeps the chair occupied after the appointment, so back-to-back bookings can't land on top of each other. NZ public holidays are labelled but don't close you; block the day if you're closing.
What it won't do
Common questions
I dragged a booking and now there are two. What happened?
That shouldn't happen: dragging moves the booking. If you see two, one is usually a booking the client made themselves after you moved theirs. Check the times in Bookings and cancel the spare; the client is emailed.
Why is Sally offering a time I'm at lunch?
Sally only sees blocks and opening hours. A lunch that's in your head, or only in Google Calendar without the connection, isn't busy to her. Add a weekly block or a split shift under opening hours.
Can I see just one staff member's day?
Yes. Day and Week views lay bookings out in a column per team member, and you can hide the ones you don't need from the filter at the top.
